Taking field service from paperwork to a fully digital workflow

What was getting in the customer's way?
The customer provides grounds maintenance services and was managing a high volume of jobs for a major client, with a small field team completing more than 100 jobs each month. Each job required work to be completed on site, photographic evidence captured and supporting documentation returned to the client.
The business recognised that its existing processes needed to be digitised and initially believed Dynamics 365 Field Service was the answer. For a five-person field workforce, however, the licensing, implementation complexity and functionality of a full Field Service deployment would have been more than the business actually needed.

How we approached it
VINERGY started with the business problem rather than the requested product. By understanding how jobs were received, completed and reported, the team identified that a focused Power Platform solution could deliver the required capabilities without the overhead of a full Dynamics 365 Field Service implementation.
VINERGY built an application that enabled field workers to access jobs, capture photographs on site and submit completed work, with information flowing into Dataverse and the required paperwork and photographic evidence produced for the customer. The result was a solution designed specifically around the operation.
Key Outcomes
What we brought to the engagement
VINERGY brought a solution-first mindset to the engagement, challenging the assumption that the customer's initial technology choice was necessarily the right one.
Rather than implementing Dynamics 365 Field Service simply because it had been requested, VINERGY took the time to understand the number of users, volume of jobs, field processes and desired outcomes before recommending an approach. That enabled VINERGY to design a leaner Power Platform solution that delivered the functionality the business actually needed while avoiding unnecessary licensing costs and implementation complexity.
It's a practical example of VINERGY's approach to Microsoft technology: start with the business problem, then choose the technology that fits it.
